If you are interested in making a booking with us, you must have read and understood all the clauses listed on this page. If you sign a travel agreement with us or any of our agents, you automatically agree to the booking conditions on your behalf, as well as on behalf of the people who are included in the booking, regardless of whether they are minors or have disabilities. Your booking will be accepted and valid only when we send you a confirmation email or an invoice. Only when we do this will a contract be established between the Peru Expeditions team and you, and it will apply from the date indicated in the email or on the invoice.
Peru Expeditions Tours and all our agents have the right to refuse any booking if they deem it appropriate. From now on, the person or persons whose name is mentioned in the booking are referred to as the “Client”. The terms and conditions established below will formulate a binding agreement between the Client and Peru Expeditions Tours.
The services provided to the Client are those tours which have also been indicated in the booking.
The Client must submit a written statement at the time of booking if there is a medical condition that needs to be mentioned, such as disability and pregnancy.
Any other physical or mental condition that may affect the Client’s level of physical fitness must also be provided to Peru Expeditions Tours in writing. Failure to comply with this may result in a refusal, and the Client will not be allowed to travel. Should the trip need to be canceled entirely, the cancellation fees will apply.
Please note that some tours may not be appropriate for the Client due to a specific disability, mobility issue, pregnancy, or any other condition. If the Client suffers from any condition which they believe may cause an obstacle on the tour, they must inform Peru Expeditions about it before making a booking. As an example, Peru Expeditions Tours may not allow women to travel if they are more than 24 weeks pregnant. Peru Expeditions Tours is not responsible for providing additional facilities until the Client has secured a written agreement.
However, the company makes every effort to fulfill the Client’s needs, these are not included in the Contract, which implies that there is no liability on Peru Expeditions Tours for failing to meet these needs. Medical facilities are not the same in all countries, so Peru Expeditions Tours does not guarantee the quality or standard of any medical treatment during the tour.
Traveling with Children: If the Client’s age is 18 years or above, they are classified as an adult. Any adult person can accompany two children whose age is under 18 years. Therefore, for every group, the ratio between the number of adults and the number of children is 1:2. As such, a single adult can travel with two children, and two adults can travel with four children.
Only those Clients whose age is above 12 years can accompany adults on a tour. If the type of tour is Family, then the age limit may be relaxed to 5 years.
If the Client makes any booking that includes children, Peru Expeditions Tours reserves the right to review it and consequently consider it accepted or rejected. The company may also reduce the number of Clients whose age is below 18 years on any of the tours.
Peru Expeditions Tours is authorized to increase the price of any package when it deems it appropriate without informing or notifying the Clients. New rates are assessed keeping in mind various factors such as currency fluctuations, government actions, food costs, transportation costs, fuel costs, airport fees, ticket fees, or any other cost that is beyond the control of Peru Expeditions Tours. All mentioned prices are stated in US dollars or US dollars ($), if you are from Europe it is in euros (€).
If there is an increase in the price of any of the operating costs, Peru Expeditions Tours may disregard it as long as it is less than 4% of the total package fee. If it is not, the Client will have to pay the full amount of the difference between the original and the new price.
The Client’s booking with Peru Expeditions Tours will only be confirmed when they deposit 50% of the total tour price per person per trip. If the booking is made late and there are less than 30 days left before departure, the full amount of the tour must be paid for order confirmation.
Please note that payments related to airfare charges and other flight costs must be made for the full amount and also in advance to ensure seats on the flight.
If Peru Expeditions Tours accepts your booking, you will receive an email confirmation and an invoice. As already mentioned, a contract will be formulated between you and the company from the date of issuance of the confirmation and will last until the tour ends. If we receive your booking late and there are only seven days or less left before the tour departure date, the contract will commence from the date we accept your payment.
The details of your final payments are mentioned in your confirmation invoice. For early bookings, the total balance of the trip must be paid when there are still 30 days left before the departure date. Otherwise, your booking might be canceled. For late bookings where there is not much time left before the tour date, the full amount must be paid for the booking confirmation.
Bank Transfer: A bank transfer allows you to move funds from your bank account to our account. In addition to the tour price, you will also have to pay an additional $50 USD as transfer charges and administration fee, which is attached to our account. When we confirm your trip, we provide you with full details about our bank account. The time period in which we receive a transfer sent by you is about 1 to 3 business days, depending on the location from which you would send the money.
Western Union: If you live abroad and want to avoid bank charges and other taxes associated with bank transfers and credit cards, you can make your payment using Western Union. This is an international transfer service with offices located in various regions of the world. So, whether you are in the US, UK, Canada, France, Ireland, Netherlands, Norway, or Australia, you can easily send your money to us.
Visit the Western Union website at www.westernunion.com and read the instructions given. Any amount sent is transferred almost instantly. If we confirm your trip, we will send you the necessary details that you will need to make a payment.
Peru Expeditions Tours can provide confirmation of the Client’s travel arrangements for the tour and guarantee it only when the Client provides all their details at the time of making their final payment. If the Client fails to provide their details, and there are less than 60 days left before the departure date, an additional administrative fee will be charged. If even then the Client does not make their payment and there are only 30 days left before the tour, Peru Expeditions Tours has reserved the rights to cancel their booking entirely. In this case, the full cancellation fee applies.
For each trip and package, Peru Expeditions Tours requires different details, the complete information of which will be provided at the time of booking. In general, basic information such as the Client’s full name, passport number, passport validity date, date of birth, place of birth, and nationality are always required. Sometimes, specific documentation may also need to be provided along with the details. Please note that unless all required Client details are provided, any booking may be treated as unconfirmed.
If a Client wishes to cancel their booked tour, they will need to submit a written request. Peru Expeditions Tours will then provide written acknowledgment of the same. Cancellation fees apply in all cases, the exact amount of which depends on the date the cancellation request is made.

Client Substitution
As the Client, it is entirely your responsibility to have a valid passport, a visa permit, and other necessary medications during the tour. We provide you with information regarding these items and matters, but we bear no responsibility towards them.
All persons traveling on Sun Gate tours must comply with the rules and regulations of the region they are visiting. Failure to comply with this will result in your requirements or obligations not being fulfilled.
If you suffer from any illness or disability, are undergoing medical treatment of some kind, or have any other medical issue that the company should be aware of, you must inform us when you make your booking. Clearly state the nature of your condition and submit a request for any medication or treatment you may need during the tour. Should you fail to inform us about such a situation, it would imply that you have breached these booking conditions, which may result in your exclusion from the tour. In all such cases, no refunds of any kind are made. Furthermore, if the features of your tour include something like boat transport, you must inform the company if you are unable to swim when you book the tour. You will not be prevented from going on the tour.
Travel insurance is mandatory for all individuals who use the tours operated by Peru Expeditions Tours. Purchase an all-inclusive policy that provides you with coverage in case of accidents, medical emergencies, repatriation, or death and protects you from trip cancellation, curtailment, baggage damage or theft, and personal liabilities.
If you have any complaints about any of the services we offer or the arrangements we have made during the tour, please report them to the tour leader or any other representative so that the situation can be rectified. Until you inform us about the problems you are facing, we cannot fix them. So, if there is any issue, please notify it and allow us to fix it. If the problem persists, notify us of your complaint in writing within 28 days from the tour completion date.
Peru Expeditions Tours has been accredited by the Ministry of Tourism in Peru, and has been authorized by the Ministry of Foreign Trade and Tourism of Peru under Peru Expeditions Tours E.I.R.L. As such, it has to comply with all the policies and laws that have been applied for travel agencies. Our company has been registered with the number (CERTIFICATE N ° 53 – 2016-DIRCETUR-ANCASH), approved by (DS N ° 004-2016-MINCETUR). We have also received a license to operate Inca Trail tours with our travel agency whose main office is located in Cusco City, Peru.
We operate locally and have established an office in Peru. We do not own any of the hotels, accommodations, vehicles, restaurants, and other facilities we provide during the tour. We appoint local operators and agencies in the regions of Lima, Puno, Ica, Amazon, Arequipa, Trujillo and South American destinations: Ecuador, Bolivia, Chile, Argentina to provide you with the requested services. We rely completely on these operators and have used them throughout our eight years of experience.
If we secure or take any image of you during the tour, we have the right to use it in our advertising campaigns without any charge. This includes all types of promotional material such as slides, video programs, brochures, and the Internet. If you have provided us with any written feedback, then that can also be used for promotional purposes.
The company will use the personal information you provide to us to make all travel arrangements. As such, we will have to pass it on to our suppliers and carriers so that we can enable the operations of the services you have requested. However, we will endeavor to protect your information and use it for official purposes only for which it is extremely necessary. I have taken ample time to read the Booking Terms and Conditions. I have fully understood all the clauses and give my total consent to all of them.
