TERMS AND CONDITIONS

Peru Expeditions Tours – Business / Corporate Group: is dedicated to providing you with a vacation experience that you will enjoy to the fullest, and remember for a lifetime. Before booking a trip with us, please review our Booking Terms and Conditions listed below.

1. The Contract

If you are interested in making a booking with us, you must have read and understood all the clauses listed on this page. If you sign a travel agreement with us or any of our agents, you automatically agree to the booking conditions on your behalf, as well as on behalf of the people who are included in the booking, regardless of whether they are minors or have disabilities. Your booking will be accepted and valid only when we send you a confirmation email or an invoice. Only when we do this will a contract be established between the Peru Expeditions team and you, and it will apply from the date indicated in the email or on the invoice.

Peru Expeditions Tours and all our agents have the right to refuse any booking if they deem it appropriate. From now on, the person or persons whose name is mentioned in the booking are referred to as the “Client”. The terms and conditions established below will formulate a binding agreement between the Client and Peru Expeditions Tours.

The services provided to the Client are those tours which have also been indicated in the booking.

2. Medical Conditions and Other Special Requirements:

The Client must submit a written statement at the time of booking if there is a medical condition that needs to be mentioned, such as disability and pregnancy.

Any other physical or mental condition that may affect the Client’s level of physical fitness must also be provided to Peru Expeditions Tours in writing. Failure to comply with this may result in a refusal, and the Client will not be allowed to travel. Should the trip need to be canceled entirely, the cancellation fees will apply.

Please note that some tours may not be appropriate for the Client due to a specific disability, mobility issue, pregnancy, or any other condition. If the Client suffers from any condition which they believe may cause an obstacle on the tour, they must inform Peru Expeditions about it before making a booking. As an example, Peru Expeditions Tours may not allow women to travel if they are more than 24 weeks pregnant. Peru Expeditions Tours is not responsible for providing additional facilities until the Client has secured a written agreement.

However, the company makes every effort to fulfill the Client’s needs, these are not included in the Contract, which implies that there is no liability on Peru Expeditions Tours for failing to meet these needs. Medical facilities are not the same in all countries, so Peru Expeditions Tours does not guarantee the quality or standard of any medical treatment during the tour.

Traveling with Children: If the Client’s age is 18 years or above, they are classified as an adult. Any adult person can accompany two children whose age is under 18 years. Therefore, for every group, the ratio between the number of adults and the number of children is 1:2. As such, a single adult can travel with two children, and two adults can travel with four children.

Only those Clients whose age is above 12 years can accompany adults on a tour. If the type of tour is Family, then the age limit may be relaxed to 5 years.

If the Client makes any booking that includes children, Peru Expeditions Tours reserves the right to review it and consequently consider it accepted or rejected. The company may also reduce the number of Clients whose age is below 18 years on any of the tours.

3. Trip Costs:

Peru Expeditions Tours is authorized to increase the price of any package when it deems it appropriate without informing or notifying the Clients. New rates are assessed keeping in mind various factors such as currency fluctuations, government actions, food costs, transportation costs, fuel costs, airport fees, ticket fees, or any other cost that is beyond the control of Peru Expeditions Tours. All mentioned prices are stated in US dollars or US dollars ($), if you are from Europe it is in euros (€).

If there is an increase in the price of any of the operating costs, Peru Expeditions Tours may disregard it as long as it is less than 4% of the total package fee. If it is not, the Client will have to pay the full amount of the difference between the original and the new price.

4. Deposits:

The Client’s booking with Peru Expeditions Tours will only be confirmed when they deposit 50% of the total tour price per person per trip. If the booking is made late and there are less than 30 days left before departure, the full amount of the tour must be paid for order confirmation.

Please note that payments related to airfare charges and other flight costs must be made for the full amount and also in advance to ensure seats on the flight.

5. Booking Acceptance

If Peru Expeditions Tours accepts your booking, you will receive an email confirmation and an invoice. As already mentioned, a contract will be formulated between you and the company from the date of issuance of the confirmation and will last until the tour ends. If we receive your booking late and there are only seven days or less left before the tour departure date, the contract will commence from the date we accept your payment.

The details of your final payments are mentioned in your confirmation invoice. For early bookings, the total balance of the trip must be paid when there are still 30 days left before the departure date. Otherwise, your booking might be canceled. For late bookings where there is not much time left before the tour date, the full amount must be paid for the booking confirmation.

6. Payment Methods

Bank Transfer: A bank transfer allows you to move funds from your bank account to our account. In addition to the tour price, you will also have to pay an additional $50 USD as transfer charges and administration fee, which is attached to our account. When we confirm your trip, we provide you with full details about our bank account. The time period in which we receive a transfer sent by you is about 1 to 3 business days, depending on the location from which you would send the money.

Western Union: If you live abroad and want to avoid bank charges and other taxes associated with bank transfers and credit cards, you can make your payment using Western Union. This is an international transfer service with offices located in various regions of the world. So, whether you are in the US, UK, Canada, France, Ireland, Netherlands, Norway, or Australia, you can easily send your money to us.

Visit the Western Union website at www.westernunion.com and read the instructions given. Any amount sent is transferred almost instantly. If we confirm your trip, we will send you the necessary details that you will need to make a payment.

7. Client Details:

Peru Expeditions Tours can provide confirmation of the Client’s travel arrangements for the tour and guarantee it only when the Client provides all their details at the time of making their final payment. If the Client fails to provide their details, and there are less than 60 days left before the departure date, an additional administrative fee will be charged. If even then the Client does not make their payment and there are only 30 days left before the tour, Peru Expeditions Tours has reserved the rights to cancel their booking entirely. In this case, the full cancellation fee applies.

For each trip and package, Peru Expeditions Tours requires different details, the complete information of which will be provided at the time of booking. In general, basic information such as the Client’s full name, passport number, passport validity date, date of birth, place of birth, and nationality are always required. Sometimes, specific documentation may also need to be provided along with the details. Please note that unless all required Client details are provided, any booking may be treated as unconfirmed.

8. Cancellation of the Tour from the Client’s End (Not Applicable for Inca Trail, Cordillera Blanca, and Cordillera Huayhuash tours)

If a Client wishes to cancel their booked tour, they will need to submit a written request. Peru Expeditions Tours will then provide written acknowledgment of the same. Cancellation fees apply in all cases, the exact amount of which depends on the date the cancellation request is made.

  • If you choose to cancel the trip more than 45 days before the departure date, you will be refunded 80% of the deposit amount.
  • If you cancel between 30 and 45 days before the departure date, you will be refunded 50% of the deposit.
  • If you cancel less than 30 days before the departure date, the deposit amount will not be refunded.
  • If you cancel between 20 and 29 days before the departure date, you will be refunded 25% of the trip cost.
  • If you cancel when there are only 20 days or less left before the tour starts, 100% of the tour cost will be retained and no amount will be refunded to you.

Special Notes:

  • All payments and deposit amounts made for Inca Trail-related trips are non-refundable due to the limits exercised by the Inca Trail policy and airline regulations.
  • If the trip has to be postponed for any reason, an administrative fee must be paid, which is 20% of the trip cost, in addition to costs incurred due to subcontracted services. Any remaining amount can be used when the Client takes a future tour with the company.
  • You will not receive any refund if you voluntarily abandon the tour once it has already started.
  • If you have to leave involuntarily, the decision to provide a refund will rest entirely with Peru Expeditions Tours. In case you are unable to use the offered services such as transport, accommodation, meals, and sightseeing, no refund will be provided to you.
  • You should take advantage of a travel insurance policy that can provide you with coverage if you have to face cancellation charges.

9. Modifications or Cancellations of the Tour from Peru Expeditions Tours End

  • Despite the fact that Peru Expeditions Tours always tries its best to carry out all tours as planned, sometimes, it is necessary to change a tour in any of its aspects, usually due to existing local conditions. If you accept this contract, you agree to all such changes that may take place.
  • The company has the full right to cancel or modify the services, facilities, or prices it offers for accommodation, flights, and other required arrangements. Peru Expeditions Tours also has the right to replace these services with other suitable options.
  • If there is a decrease in enjoyment or other problems arise because of this, the company will not be liable. The company has the right to cancel a tour entirely if it deems it appropriate due to natural disaster, terrorism, political situation, or any other external circumstance during which the operation of the tour may be prone to risks.
  • If the trip has to be canceled due to us, you may take advantage of an alternative tour or receive your full money back except for 10% of the deposit.
  • If any expenses arise due to your vaccinations, visas, flights, or any other reason, we will not be responsible for them.

10. Changes from the Client’s End

  • If you have to change the travel itinerary when you have already received our confirmation, you will have to pay a fee of $40 USD. Other costs incurred in the process will also be payable by you.
  • Although we will do our best to accommodate the changes and requests and ensure that everything is up to your expectations, we still cannot guarantee them.
  • Any changes you wish to make to the travel plan must be submitted to us almost 45 business days before the actual departure date of the trip. Even if you inform us well in advance, there is a chance that the requested changes might still be refused.
  • If you ask us to make modifications when there are only 30 days left before the trip, we will not accept them.
  • In the event of a change to the original booking, the person who has been entitled to it must consolidate them.

Client Substitution

  • If there is any member in your group who is unable to attend the trip, the booking may be transferred to another person, if you submit the request in writing. This should be when there are more than 45 days left before the trip. You will have to pay an administrative fee of around $50 USD and any other costs incurred in the process.
  • If you are taking advantage of the Inca Trail Tour, you will not be allowed to make any changes to names, dates, or passport numbers once your request undergoes the process. Please note that the issued trekking permit is non-transferable and non-refundable. As such, your deposit will not be refunded. This is because we cannot resell your permit to another client after you cancel it.

12. Visas, Passports, and Vaccinations

As the Client, it is entirely your responsibility to have a valid passport, a visa permit, and other necessary medications during the tour. We provide you with information regarding these items and matters, but we bear no responsibility towards them.

13. Age, Fitness, and Participation

  • Before booking a tour, you must be absolutely sure that you have the required level of physical fitness and will be able to complete the entire chosen travel itinerary. If your age is above 60 years, we strongly recommend that you obtain medical advice that you have acceptable strength and physical condition.
  • Peru Expeditions Tours will not allow any person aged 18 years or under to travel alone. If a person is in their teens, they will only be considered if they have a parent or guardian with them who assumes full responsibility for them.
  • Peru Expeditions Tours may reject any booking if it deems it appropriate. You must accept and agree to the decisions made by our employees, agents, and leaders during the tour.
  • If there is any person whose health or conduct before or after departing for the tour seems to jeopardize the comfort, safety, and happiness of the rest of the Clients, then that person may be excluded from the entire tour or some parts of it. Furthermore, if a traveler’s health is unsuitable, Peru Expeditions may make the necessary arrangements for them, but this is not mandatory.

14. Local Regulations:

All persons traveling on Sun Gate tours must comply with the rules and regulations of the region they are visiting. Failure to comply with this will result in your requirements or obligations not being fulfilled.

15. Ill Health or Disability:

If you suffer from any illness or disability, are undergoing medical treatment of some kind, or have any other medical issue that the company should be aware of, you must inform us when you make your booking. Clearly state the nature of your condition and submit a request for any medication or treatment you may need during the tour. Should you fail to inform us about such a situation, it would imply that you have breached these booking conditions, which may result in your exclusion from the tour. In all such cases, no refunds of any kind are made. Furthermore, if the features of your tour include something like boat transport, you must inform the company if you are unable to swim when you book the tour. You will not be prevented from going on the tour.

16. Travel Insurance:

Travel insurance is mandatory for all individuals who use the tours operated by Peru Expeditions Tours. Purchase an all-inclusive policy that provides you with coverage in case of accidents, medical emergencies, repatriation, or death and protects you from trip cancellation, curtailment, baggage damage or theft, and personal liabilities.

17. Flight Reservations

  • Peru Expeditions Tours tries its best and ensures that all airfares are correct when they are quoted. However, all airlines reserve the right to modify them without sending any notice. Therefore, when you pay an airfare deposit, it only allows us to confirm your seat, while the fares may change at any time and are thus not guaranteed.
  • The airfare is confirmed when you pay the full amount of your flight booking and receive your ticket. Flight reservations are non-transferable.
  • The flight times that are given to you when you make a booking are not certain and may change. You will know the confirmed prices when your ticket has been issued.
  • Carefully review your tickets and note the indicated times. If there is any change or alteration in the flight, Peru Expeditions Tours will inform you as soon as possible.
  • Just like the fares, airline companies can also change flight details at any time. However, these do not have a significant effect on other arrangements, so the trip usually continues as planned.
  • Peru Expeditions Tours bears no responsibility for flight delays, no matter what their cause is. This usually occurs due to severe weather conditions, traffic controller actions, local governments, airport authorities, strikes, or mechanical failures.

18. Client Responsibilities

  • As the Client, you will have to accept the decisions made by Peru Expeditions Tours employees, agents, and leaders during the trip. If there is any person whose health or conduct before or after departing for the tour seems to jeopardize the comfort, safety, and happiness of the rest of the Clients, then that person may be excluded from the entire tour or some parts of it.
  • If a traveler’s health is unsuitable, Peru Expeditions Tours may make the necessary arrangements for them, but this is not mandatory. The cost incurred in this regard must be paid by the Client themself.
  • If a Client does something that is unlawful, they will be excluded from the tour, and the company will bear no responsibility for them. Furthermore, if you have a certain medical condition that may affect the enjoyment of others or prevent you from participating in the tour, please inform us when booking a tour.
  • No refunds are made for those facilities or services that have not been used. As the Client, it is entirely your responsibility to have a valid passport, a visa permit, and other necessary medications during the tour. We provide you with information regarding these items and matters, but we bear no responsibility towards them.

19. Peru Expeditions Tours Responsibilities

  • Peru Expeditions Tours arranges all its services such as accommodation and transportation on account of its travelers and in their names. As such, if there is any accident, damage, loss, or any other kind of interference from the Client’s end or for reasons over which the company has no control, Peru Expeditions Tours will not be responsible.
  • The company is not responsible for any kind of medical illness, pregnancy, or physical impairments, which may put your health at risk. Nor are we responsible for any claim or refund that arises due to the reasons mentioned above.
  • Peru Expeditions Tours will not pay any kind of compensation if the tour has to be modified or canceled due to incidents that are beyond its control. Examples include war, civil strike, riot, natural disaster, extreme weather, health risks, technical issues with transportation, and flight cancellation.
  • If there is any change in flight time or if the departure is delayed for any reason, the company will not assume any liability for it. Efforts will still be made to minimize the effects this may have on the tour.
  • Flight delay or cancellation may be caused by any reason such as weather conditions, airport authorities, air traffic controllers, and mechanical failures, but we still cannot take any kind of responsibility. Furthermore, if the delay in the flight causes you to arrive late at hotels, no refunds will be made for the time you were not there. Airlines also do not have compensation to offer in this regard. However, they would still try to reduce your inconvenience by providing you with accommodation or meals, as deemed appropriate at that time.
  • Until you have received our prior consent, we will not be responsible for any payments. If you need any special or additional services, inform us in advance.

20. Client Complaints:

If you have any complaints about any of the services we offer or the arrangements we have made during the tour, please report them to the tour leader or any other representative so that the situation can be rectified. Until you inform us about the problems you are facing, we cannot fix them. So, if there is any issue, please notify it and allow us to fix it. If the problem persists, notify us of your complaint in writing within 28 days from the tour completion date.

21. Financial Security:

Peru Expeditions Tours has been accredited by the Ministry of Tourism in Peru, and has been authorized by the Ministry of Foreign Trade and Tourism of Peru under Peru Expeditions Tours E.I.R.L. As such, it has to comply with all the policies and laws that have been applied for travel agencies. Our company has been registered with the number (CERTIFICATE N ° 53 – 2016-DIRCETUR-ANCASH), approved by (DS N ° 004-2016-MINCETUR). We have also received a license to operate Inca Trail tours with our travel agency whose main office is located in Cusco City, Peru.

We operate locally and have established an office in Peru. We do not own any of the hotels, accommodations, vehicles, restaurants, and other facilities we provide during the tour. We appoint local operators and agencies in the regions of Lima, Puno, Ica, Amazon, Arequipa, Trujillo and South American destinations: Ecuador, Bolivia, Chile, Argentina to provide you with the requested services. We rely completely on these operators and have used them throughout our eight years of experience.

22. Photography and Testimonials:

If we secure or take any image of you during the tour, we have the right to use it in our advertising campaigns without any charge. This includes all types of promotional material such as slides, video programs, brochures, and the Internet. If you have provided us with any written feedback, then that can also be used for promotional purposes.

23. Privacy Policy:

The company will use the personal information you provide to us to make all travel arrangements. As such, we will have to pass it on to our suppliers and carriers so that we can enable the operations of the services you have requested. However, we will endeavor to protect your information and use it for official purposes only for which it is extremely necessary. I have taken ample time to read the Booking Terms and Conditions. I have fully understood all the clauses and give my total consent to all of them.
